Kids Quest Operations Manager

Position summary: Full time position at 40 hours a week to provide full support to Children Ministry Director with all Kid’s Quest operational and administrative duties and with Sunday programming

Principal Duties and Responsibilities:

  • Model the character of Christ to all employees, volunteers, leaders and congregants
  • Commitment to daily prayer, Bible reading and sharing the Gospel regularly
  • Assist Children Ministry Director with all ministry related operational and administrative tasks
  • Demonstrate a care/grow/disciple approach to all assigned volunteers (Host/Greeter Team, Bin Team and Administrative Team)
  • Mid-week responsibilities include:
    • Attend weekly staff prayer, team meetings and occasional trainings
    • Handle all Ministry Platform related data entry, data management, generate reports, rosters and handle child and volunteer class assignments
    • Ensure immediate follow up on all volunteer applications, requirements processing and trainings
    • Ensure weekly follow up with visitors, new families  
    • Recruit and train volunteers for assigned teams
    • Send weekly updates to assigned volunteer teams and schedule them in PCO in advance for Sundays   
    • Order and prepare Early Childhood and Elementary Sunday lessons’ supply for the volunteer bin team
    • Assure greeter stations are in order and ready for Sunday (clean, stocked with supply)
    • Work with Children’s Ministry director on yearly ministry budget, manage Concur ministry expenses, ministry held credit cards, track budget expenditures   
    • Help update the Kid’s Quest SOP Manual and volunteer orientation/training materials 
    • Assist children ministry director with all ministry related communications: website updates, social media, monthly newsletter, help with promotional materials, signs
    • Organize special children ministry events (volunteer appreciation events, trainings, special annual Kid’s Quest events) 
    • Provide administrative and logistical support for Child Dedication and Child Baptism classes and ceremonies 
    • Approves ADP timesheets for assigned staff, assure all Kid’s Quest staff training requirements for Kid’s Quest staff members  
    • Administration of childcare coordination  
    • Lead Kid’s Quest organizational projects in all children ministry areas: Volunteer Central, office closest, cabinets, office spaces, take inventory of Kid’s Quest supply, order office supply etc. and assure cleanliness, safety and proper functionality of all Kid's Quest equipment and supply 
  • Sunday responsibilities include:
    • Help coordinate sufficient area coverage within Kid’s Quest locations during all services
    • Help maintain a safe and clean learning environment for all children ministry areas
    • Set-up/close down/clean-up greeter stations
    • Supervise volunteers at all Kid’s Quest check-in stations and in Volunteer Central
    • Purchase food and set-up volunteer hospitality stations for all Kid’s Quest ministry areas
    • Assist coordinators, parents, volunteer with requests or concerns

 Education Skills and Abilities: 

  • Active and growing personal relationship with Jesus Christ, evidenced by action, attitude, behavior, Scripture knowledge and understanding
  • A passion for children’s ministry and to see families grow in their faith together
  • Previous experience with direction and administration of large church Children’s Ministries or Family Ministries
  • Experience in recruiting, motivating, equipping, and developing volunteer leaders to minister to children and families
  • High-capacity with an ability to coordinate multiple initiatives at the same time
  • Strong communication skills (written, verbal and interpersonal)with all parties involved 
  • Competency with basic computer software (Excel, Word, Power Point etc.), database experience and the willingness to learn new software systems (Ministry Platform, Planning Center, Service U, others)
  • Great organizational skills, people skills, problem solving skills, conflict management skills, creativity 
  • Reliable, team player, professional in all area of conduct, teachable, organized, flexible, patient  
  • Approved background check and finger printing
